About the Role
As our Internal Operations & Logistics Coordinator, you are the vital operational "glue" within our Customer Onboarding & Implementation department. You are the bridge between Purchasing, our Hardware Specialists, and our Field Execution teams. Your primary mission is to ensure that our Customer Implementation Engineers always have the right, perfectly prepared equipment ready to be installed for our medical professionals.
Challenge
Warehouse & Stock Management: You take full ownership of our hardware inventory across three locations (Gembloux, Gent, and Houthalen). While physically based in Gembloux, you manage the digital tracking, physical organization, and stock levels for all sites to ensure we never run out of critical equipment.
Logistics & Dispatching: You coordinate the flow of goods. You receive incoming shipments, organize the warehouse, pick and pack orders, and ensure hardware is dispatched to the right engineers or customers exactly on time.
Staging & Preparation Coordination: You orchestrate the hardware "staging" pipeline. While you may occasionally step in to unbox or pre-configure devices yourself, your primary job is to coordinate and delegate this work to the right technical team members. You ensure that all workstations and peripherals are prepared, updated, and plug-and-play ready for the field exactly when needed.
RMA & Returns Oversight: You oversee the Return Merchandise Authorization (RMA) flow from start to finish. You ensure defective gear is tracked and processed efficiently by coordinating directly with internal technicians and external suppliers, delegating the physical testing where appropriate, and stepping in hands-on only when necessary to keep the pipeline moving.
Process Optimization: You treat the warehouse like a well-oiled machine. You take the initiative to improve our internal logistics, storage efficiency, and preparation workflows.
Internal Collaboration: You act as the central hub. You work with Purchasing to track incoming deliveries and communicate constantly with our Customer Delivery Managers so they can plan their field installations accurately.
Profile
Logistics & Coordination First: You have proven experience in warehouse operations, internal logistics, or stock management. You are highly organized, comfortable working with inventory management systems (ERP), and skilled at delegating tasks to ensure deadlines are met.
Hands-on yet Strategic: You enjoy a dynamic role. You are a strong coordinator who manages the big picture and delegates effectively, but you are not afraid to roll up your sleeves to organize shelves or prepare a hardware box when the team needs it.
Basic IT Affinity: You are not expected to be a System Engineer, but you aren't afraid of technology either. You understand the basics of hardware (PCs, screens, printers) enough to effectively plan and coordinate the staging tasks with the IT team.
Structured & Accurate: Managing stock across multiple sites requires strict digital discipline. You are meticulous about keeping the system aligned with physical reality.
Communicative Hub: You are proactive and clear. You can effectively update the business teams while coordinating daily tasks with the technical specialists.
Language: Fluent in French with conversational proficiency in English.
